Project Online English Tutor

Visit thornhill-tutor.com ↗Designed and built an AI-driven operations system for a virtual English tutoring practice, combining a password-protected parent portal, live student progress trackers, and an automated email and lead-generation platform. The system replaced scattered documents and manual follow-ups with one secure, connected workflow for students, parents, and tutor.
Private tutoring produces a steady stream of information: lesson notes, progress observations, schedules, and parent communication. In most small practices, that information lives in scattered documents, text threads, and inboxes. Parents see little of the progress being made, and the tutor loses hours each week to repetitive administration.
The objective was to solve both problems at once. Each family needed a private, secure window into their child’s learning, while routine communication needed to run automatically without losing the warm, personal voice that families associate with the brand. Because the system holds information about minors, privacy had to be designed in from the start rather than added later.
Secure Parent Portal & Access Control
Built a parent portal where every family signs in with its own private passcode, which unlocks only their child’s tracker. A separate tutor password opens every tracker and the administrative tools. Passcodes are stored in encrypted form, sign-in sessions are digitally signed and expire automatically, and no student information is ever published on the public website.
A “remember this computer” option gives the tutor fast, password-free access on a trusted device, while parent sign-ins are never remembered, protecting families who share computers.
Student Progress Tracker
Designed an interactive tracker that organizes each student’s growth into progress periods across core skill areas. The tutor records observations and next steps, while parents add their own notes from home. The two halves are stored separately, so neither can ever overwrite the other’s work.
A fully interactive sample tracker on the public website lets prospective families explore every feature before booking, turning an abstract promise of “progress tracking” into something they can see and use.
AI-Driven Email Center
Built a private email platform that syncs contacts automatically from student records, the existing mailing list, and website sign-ups. One click sends a family a welcome email, a progress update that detects the latest period on its own, a catch-up call reminder, or their portal passcode. Every message can be previewed on desktop and phone, tested in the tutor’s own inbox, and switched between six brand-consistent designs.
General templates for announcements, holidays, special offers, and new programs speed up writing, while built-in safeguards keep brand colours accurate in phone dark mode and prevent a welcome email from ever being sent to the same family twice.
Automated Nurture & Lead Generation
Connected the website’s blog sign-up form directly to the mailing list, so new subscribers enter an automatic drip feed the moment they join. Each email can be marked as evergreen and added to the sequence, or kept as a one-time, time-sensitive message, giving every newcomer a curated introduction rather than a backlog of outdated news.
New blog posts can be turned into a branded email in one step, keeping the audience engaged with fresh content. Unsubscribe requests are honoured instantly, and the mailing list was reviewed against Canada’s anti-spam requirements before any campaign was sent.
AI Lesson Summaries with Human Review
Now in development: recorded classes will be summarized by AI into draft tracker notes, highlighting skills practised, breakthroughs, and areas to revisit. Every summary goes to the tutor first for review and editing, so nothing reaches a parent without human judgment and approval.
Families now have one secure place to follow their child’s progress, and the communication that once depended on manual effort runs on its own: welcomes, reminders, updates, and nurture sequences all go out on time and in a consistent brand voice.
The system runs on lightweight, serverless infrastructure at a minimal monthly cost, with every change previewed before it goes live. It demonstrates how a small business can adopt AI-driven automation responsibly, keeping privacy, accuracy, and the human relationship at the centre of the design.
